Schedule: Full-time, 40 hours/week. Must be available to work a fixed 9-hour shift during one of the following US time blocks:

  • Eastern Time: 9:00 AM - 6:00 PM EST
  • Pacific Time: 9:00 AM - 6:00 PM PST

The Role

The Remote Program Coordinator is the operational heart of our organization. You are the central coordinator ensuring that every class we offer runs flawlessly, from teacher staffing and partner communication to real-time support. You are a master problem-solver, an impeccable communicator, and someone who thrives on creating order from chaos. Your work directly ensures a fantastic and reliable experience for our students, their parents, our school partners, and our teaching staff.

Key Responsibilities

Program Coordination & Logistics (40%)

  • Oversee the setup and scheduling for all upcoming classes, ensuring all logistical details are confirmed and communicated.
  • Prepare and distribute class rosters, curriculum materials, and schedules to teachers.
  • Serve as the main point of contact for our school and youth center partners, providing them with updates and managing logistical requirements.

Staffing & Teacher Support (30%)

  • Manage the teacher schedule, ensuring all classes are staffed with qualified instructors.
  • Act as the first point of contact for teacher absences, quickly and efficiently securing substitute teachers from our database to ensure zero class cancellations.
  • Support the teacher hiring pipeline by reviewing candidates, conducting professional reference checks via phone, and making hiring recommendations.
  • Onboard new teachers by providing them with necessary information and ensuring they are prepared for their first class.

Communication & Real-Time Support (30%)

  • Serve as the primary on-call support person during all active class hours. You will be the go-to for teachers needing technical assistance or for handling any emergencies that arise.
  • Act as a key point of contact for parents, responding to inquiries about scheduling, class details, and feedback with professionalism and empathy.
  • Maintain clear, consistent communication with all stakeholders: teachers, parents, and site partners.

Required:

  • Exceptional English Command: Impeccable written and verbal communication skills. You can write a clear, professional email and speak with confidence and empathy over the phone to parents and partners in the US.
  • Elite Problem-Solver: You don't just identify problems; you solve them. You can think on your feet, stay calm under pressure, and make logical, decisive choices in time-sensitive situations.
  • Highly Organized & Detail-Oriented: You can juggle multiple schedules, communication threads, and deadlines without letting things fall through the cracks. Experience with tools like Google Suite (Docs, Sheets, Forms) is essential.
  • Proactive & Self-Motivated: You are a true self-starter. You look for ways to improve processes and anticipate needs before they become problems. You don't need to be micromanaged to be effective.
  • Tech-Savvy & Resourceful: You are comfortable with online tools and can troubleshoot basic technical issues. You have a reliable, high-speed internet connection and a quiet workspace.
  • Intelligent AI User: You see AI tools (like ChatGPT) as a powerful assistant, not a replacement for thinking. You have the judgment to use AI for a first draft, but the skill to refine, personalize, and humanize its output to fit the situation. Canned, unedited AI responses are not acceptable in our communications.

Nice to Have:

  • Experience in a coordination or administrative role (e.g., project coordinator, virtual assistant, HR assistant).
  • Experience in the education, youth development, or ed-tech sectors.
  • Experience with customer service or client-facing communication.
