Role Summary:
The Clinic Operations Director is a strategic leader responsible for overseeing the performance, compliance, and patient experience of existing clinics, while spearheading the setup and operational readiness of new centers across the Philippines. This role ensures that all clinics operate in alignment with company standards, regulatory requirements, and patient-centered values, while driving operational excellence, scalability, and sustainable growth.
Key Responsibilities
1. Strategic Clinic Expansion & Setup
- Lead the planning, setup, and operational launch of new clinics, including licensing, staffing, procurement, and readiness assessments.
- Develop and implement scalable clinic setup frameworks, SOPs, and project timelines to ensure consistent quality and compliance across new sites.
- Collaborate with cross-functional teams (Legal, HR, Finance, Clinical) to ensure seamless clinic onboarding and integration into the network.
- Serve as the primary point of contact for external stakeholders during clinic setup (e.g., contractors, vendors, regulators, landlords).
2. Multi-Site Operations Oversight
- Oversee daily operations across multiple clinics, ensuring optimal patient flow, staffing, inventory, and service delivery.
- Monitor and manage clinic budgets, expenditures, and financial performance in alignment with company goals.
- Ensure consistent implementation of SOPs, quality assurance protocols, and operational standards across all sites.
- Drive operational improvements through data analysis, benchmarking, and continuous feedback loops.
3. Quality, Compliance & Risk Management
- Ensure all clinics comply with DOH, ISO, PhilHealth, and internal regulatory standards.
- Lead internal audits, risk assessments, and corrective action planning in collaboration with the Quality and Compliance Officer.
- Maintain high standards of documentation, infection control, and medical records management across all sites.
- Serve as an escalation point for incidents, complaints, and nonconformities, ensuring timely resolution and learning.
4. Leadership & Team Development
- Provide strategic leadership and mentorship to clinical teams.
- Build a high-performing clinical team through structured onboarding, training, and performance management.
- Foster a culture of accountability, collaboration, and continuous improvement.
- Align clinical teams with broader organizational goals and KPIs through regular communication and engagement.
5. Patient Experience & Service Excellence
- Champion a patient-centered approach across all clinics, ensuring compassionate care and responsive service.
- Monitor patient satisfaction metrics and lead service improvement initiatives.
- Collaborate with clinical teams to ensure integrated, high-quality care delivery.
Key Metrics of Success
- Timely and compliant launch of new clinics
- Operational performance across clinics (efficiency, cost control, patient flow)
- Regulatory compliance and audit outcomes

- Patient satisfaction and service recovery metrics

Requirements:
- Bachelor's degree in Nursing, Allied Health, Medical Technology, Business Administration, or a related field (Required)
- Master's degree in Healthcare Administration, Management, or equivalent (Preferred)
- Strong leadership, communication, and interpersonal skills
- Excellent problem-solving, decision-making, and organizational abilities
- Excellent communication and interpersonal skills, with the ability to provide empathetic and supportive care to patients.
- Familiarity with EMR systems, patient scheduling, and clinical documentation workflows
- Proficiency in electronic medical records (EMR) systems and basic computer skills including MS Office - Word, Excel, Powerpoint
- Ability to multi-task and work in a fast-paced environment and handle stressful situations with professionalism.
- Minimum of 3–5 years of clinic management or supervisory experience in a healthcare preferably in IVF/fertility setting
- Proven experience with DOH compliance, quality improvement, patient privacy laws (i.e. PDPA), or ISO certification is highly desirable
- Knowledge of PhilHealth accreditation and claims processing is a plus
- Valid PRC license if applicable (e.g., RN, RMT, etc.)
- Training in ISO 9001, Basic Life Support (BLS), or Quality Management Systems is an advantage
