About the Role

Headstart / OpsArmy is hiring a Provider Scheduling Specialist (ABA) to manage day-of scheduling, cancellations, and make-ups for ABA providers. This is a phone-heavy, high-attention role where you will be the trusted voice families hear when coordinating therapy for children. You'll follow provider-designed rules (not redesign them), act quickly to backfill sessions, and keep Aloha and OpsArmy systems fully updated.

This role is ideal for someone with care-coordination or healthcare scheduling experience, neutral U.S. English that sounds local, and the energy to build trust with families and technicians.

Key Responsibilities
Day-of Scheduling Management (Primary)
  • Handle day-of cancellations, last-minute callouts, and overnight callouts.
  • Call families and technicians to reschedule sessions; coordinate backfills and make-ups.
  • Track recovered hours, session changes, and utilization impacts.
  • Prioritize backfills based on provider rules and policies set during design sessions.
Prospective Scheduling Support
  • Build forward schedules in Aloha per provider availability and family preferences.
  • Gather and update availability proactively to reduce day-of disruption.
  • Prepare weekly or monthly prospective schedules as required.
High-Fidelity Phone Communication
  • Provide a warm, local, neutral-accent U.S. phone presence.
  • Deliver empathetic, urgent, and clear communications to families and staff.
  • Maintain professionalism while building trust with caregivers.
Collaboration & Reporting
  • Keep Aloha and OpsArmy systems updated in real time.
  • Provide daily status updates on cancellations, reschedules, and issues to the Headstart CSM and OpsArmy OM.
  • Follow SOPs closely; escalate provider-specific exceptions to the CSM.
What You Bring
  • Prior scheduling/coordination experience, preferably in healthcare or ABA.
  • Fluent, neutral U.S.-style English with excellent phone presence (indistinguishable from local).
  • Strong organizational skills and attention to detail.
  • Comfortable using scheduling tools (Aloha experience preferred).
  • Friendly, high-energy, empathetic demeanor; able to build trust quickly.
  • Spanish fluency is a plus, not required.
