Job Summary
The Operations Coordinator acts as support for the business unit and coordinates with clients on their requirements, ensuring smooth documentation, compliance, and process flow across departments.
Primary Duties and Responsibilities
I. Office Custodian Responsibilities
- Oversee proper office setup.
- Ensure compliance with office house rules.
II. Processing of Documentation
- Verify that all folios have been processed in the system by the operations team.
- Scrutinize details within the folio to ensure all requirements are complete and accurate.
- Determine necessary actions required for receiving and processing documents.
III. Processing of E-Payment Application
- Submit folio to the Business Unit Administrator for validation.
- Coordinate submission to the Accounting Department for transaction facilitation and safekeeping.
- Update Trello with outstanding issues or items requiring monitoring.
- Assist the Administrator with the e-payment application once payment is received.
IV. Processing of Incentives
- Review received folios and validate eligibility for incentives.
- Deduct all applicable taxes and other deductibles prior to issuance of the Check Request Form (CRF).
V. Setting up of SRP (Suggested Retail Price)
- Validate costs in the system and compute SRP based on standard rates.
- Round off prices to the nearest bill amount to minimize change.
- Submit SRP to Finance for approval.
- Implement quarterly updates on SRPs.
