Schedule: Monday to Friday, 8:00 AM – 5:00 PM (Brisbane Time) — includes a 1-hour unpaid breakTotal weekly hours: 40 Hours
Our client is seeking a highly organized and detail-oriented Project Administration Assistant to provide critical administrative support to their project management and estimating teams. This role is key to ensuring accurate project documentation, efficient financial processes, and smooth day-to-day project operations from start to finish.
The ideal candidate is a proactive problem-solver who thrives on maintaining order, supporting team objectives, and contributing to overall project success
Project Documentation & Data Management
Maintain and organize all project-related files in the cloud storage system, including weekly downloads and filing of site photos, daily risk assessments, and safety documents
Assist in preparing project documentation, including Safe Work Method Statements (SWMS) and Safety Plans
Support the project archiving process upon project completion
Manage the purchase order lifecycle, reviewing and closing old purchase orders on a weekly or fortnightly basis
Assist the estimating team by requesting monthly utility location reports, updating tracking spreadsheets, and ensuring accurate filing
Help prepare monthly budget templates and download budget reports for project managers
Assist with sending monthly client statements
Perform essential administrative tasks to ensure compliance and operational efficiency
Provide general administrative support to the project and estimating teams as required
Proven experience in an administrative support role, preferably within project management, construction, or a similarly fast-paced environment
Exceptional organizational skills and meticulous attention to detail
High proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Ability to manage multiple tasks, prioritize effectively, and consistently meet deadlines
Excellent written and verbal communication skills
Reliable, proactive mindset with the ability to work independently and collaboratively
Knowledge of a major ERP system (e.g., Dynamics) and basic SQL is a strong advantage
