Position: Front Desk Associate

Responsibilities:

Client Interaction & Reception Management

  • Greet clients warmly and professionally, ensuring a welcoming atmosphere for clients and their cats.
  • Oversee client check-ins, verify appointments, and coordinate with the veterinary team for a seamless experience.
  • Ensure timely and accurate responses to client inquiries via phone, email, Viber, and other communication platforms.
  • Maintain a calm, organized, and cat-friendly waiting area.
  • Clearly communicate clinic policies, procedures, and services to clients.

Appointment and Scheduling Coordination

  • Oversee scheduling and confirmation of appointments using the clinic's scheduling software.
  • Ensure reminders are sent for upcoming appointments and follow up on missed bookings.
  • Coordinate bookings for home services, pick-ups, and online consultations.

Billing and Payment Management

  • Supervise the collection and verification of billing information, ensuring accuracy in statements and payments.
  • Oversee payment processing and documentation, providing clients with detailed cost breakdowns.
  • Follow up on outstanding payments and resolve billing concerns in collaboration with veterinary staff.
  • Maintain updated billing records and send weekly billing summaries.
  • Collaborate with doctors to resolve billing discrepancies and maintain transparency.

Administrative and Reporting Tasks

  • Ensure accurate maintenance of client and patient records, including contact details and medical histories.
  • Track and report daily bookings, promotional usage, and client census data.
  • Monitor weekly booking predictions and promotional client data, providing insights for planning.
  • Collaborate with Billing, Cashier, and Stores Team Leads to suggest and implement process improvements.
  • Perform additional tasks assigned by supervisors or management that impact business operations.

Customer Service Excellence

  • Proactively communicate next steps to clients, including post-consultation care and follow-up requirements.
  • Coordinate with the veterinary team to ensure smooth handling of test results, billing, and follow-up care.
  • Gather client feedback before departure and conduct follow-ups on discharged patients.
  • Recommend relevant promotions and services based on client needs.

Operational Support

  • Ensure proper recording and organization of operational documents such as OT, LR, CD, and invoices.
  • Monitor inventory related to billing and cashier functions and report shortages.
  • Assist in clinic events and support other departments as needed.

Integrity and Collaboration

  • Secure and organize confidential files to maintain confidentiality and accessibility.
  • Collaborate closely with cashiers and other team members to maintain efficient workflows.
  • Maintain daily reports such as Promotions Availment Tracker and Daily Booking Tracker.
  • Support any additional tasks contributing to clinic success and client satisfaction.

Perform other tasks that have a direct business impact assigned by the immediate supervisor or the management which may be within or beyond the scope of the job.
