Job Title:Business Development Associate / Secretary to the COO
Department:Business Development / Executive Office
Reports To:Chief Operating Officer (COO)
Job Summary:The Business Development Associate / Secretary to the COO provides strategic, administrative, and coordination support to the COO while actively assisting in business development initiatives within the construction industry. This role combines executive-level secretarial responsibilities with market research, proposal preparation, client coordination, and internal project tracking to support company growth and operational efficiency.
Key Responsibilities:
A. Business Development Functions
- Assist in identifying new business opportunities, projects, and potential clients in the construction sector.
- Conduct market research, competitor analysis, and project lead monitoring (public and private).
- Coordinate preparation of bids, proposals, prequalification documents, and presentations.
- Maintain and update business development databases, client lists, and project pipelines.
- Liaise with consultants, clients, suppliers, and government agencies regarding project opportunities.
- Support contract documentation, LOIs, MOUs, and other commercial documents.
- Track project submissions, awards, and post-bid activities.
- Provide full administrative and secretarial support to the COO.
- Manage the COO's calendar, meetings, travel arrangements, and appointments.
- Prepare correspondence, reports, minutes of meetings, presentations, and internal memoranda.
- Coordinate executive meetings, board meetings, and management briefings.
- Handle confidential and sensitive information with utmost discretion.
- Act as a communication bridge between the COO and internal/external stakeholders.
- Monitor action items, deadlines, and follow-ups on behalf of the COO.
- Assist in preparing management reports, dashboards, and progress summaries.
- Coordinate with project teams, finance, engineering, and procurement for required data.
- Maintain organized digital and physical filing systems for executive and BD documents.
- Support special projects and strategic initiatives assigned by the COO.
Qualifications & Requirements:
- Bachelor's degree in Business Administration, Management, Engineering, or a related field.
- At least 2–4 years of experience in business development, executive assistance, or administrative roles (construction industry experience is an advantage).
- Familiarity with construction project bidding, documentation, and industry practices.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in MS Office (Word, Excel, PowerPoint); knowledge of document management systems is a plus.
- Professional demeanor with high level of confidentiality and integrity.
- Ability to work independently and under pressure in a fast-paced environment.
