The Department Secretary provides administrative and clerical support to ensure the efficient operation of the department. This role involves managing schedules, preparing documents, coordinating meetings, handling communication, and maintaining records. The ideal candidate is highly organized, detail-oriented, and able to work effectively in a dynamic team environment.

Key Responsibilities:

  • Coordinate and manage the department's daily administrative tasks
  • Maintain organized filing systems (digital and physical)
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Prepare, format, and edit correspondence, reports, presentations, and other documents
  • Handle incoming calls, emails, and other communications in a professional manner
  • Maintain inventory and order office supplies as needed
  • Support department projects and initiatives as required
  • Ensure confidentiality of sensitive information and documents
  • Serve as a point of contact for internal and external stakeholders
  • Assist in budget tracking, petty cash management, and invoice processing

Qualifications:

  • Bachelor's degree or associate degree in Office Administration, Business Management, or related field
  • Proven experience in an administrative or secretarial role (1–3 years preferred)
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Discretion and professionalism in handling confidential information
  • Ability to multitask and work under minimal supervision
