We're looking for an experienced and detail-oriented Medical Operations Manager to support the daily operations of a busy weight loss management practice. The ideal candidate has a strong background in medical administration and healthcare operations, with a passion for helping patients achieve their health goals. You'll play a key role in ensuring streamlined workflows, accurate documentation, and top-notch patient support.

What You'll Be Doing:

  • Oversee the day-to-day operations of the weight loss practice, including staffing, budgeting, and resource allocation
  • Ensure compliance with healthcare regulations and maintain accurate medical records, patient documentation, and treatment plans
  • Monitor patient flow and assist with scheduling optimization to improve service delivery and efficiency
  • Use medical practice management software like Athena, Epic, or other platforms commonly used in weight management settings for scheduling, billing, and EHR
  • Train and support team members on administrative workflows, documentation standards, and customer service best practices
  • Handle patient inquiries and follow-ups with empathy and professionalism, ensuring a high-quality care experience

What We're Looking For:

  • Excellent written and verbal communication skills
  • Previous experience in a healthcare setting—experience with weight loss, wellness, or chronic care programs is a plus
  • Strong understanding of patient care coordination and medical office operations
  • Proficiency with EHR systems like Athena, Epic, or similar platforms (preferred but not required)
  • Knowledge of HIPAA and compliance standards related to patient care and data security
  • Available to work in US time zones (Graveyard shift in the Philippines)
  • Available to start within 2 weeks from job offer

Technical Requirements:

  • Comfortable in using time-trackers (e.g. Time Doctor)
  • Own laptop/desktop, noise-cancelling headphones, and webcam
  • Reliable internet connection (at least 50 Mbps)
  • Available backup equipment in cases of power and internet outages
  • Proficiency with Microsoft Office tools and Google Workspace
  • Proficiency with EHR systems like Athena, Epic, or similar platforms (preferred but not required)
