Job Description

As a Claim Specialist, you will play a vital role in supporting AP/AR teams by auditing invoices, managing dispute claims, and filing shipping claims. You will collaborate across departments and vendors to resolve discrepancies, ensuring accuracy, compliance, and efficiency in financial operations.

The Qualifications We Seek

Education & Experience

  • Bachelor's degree in Accounting or a related field (preferred).
  • Minimum of 2 years of experience in claims management or a related role (preferred).
  • Experience with customs and duties is a strong plus.

Skills and Abilities

  • Ability to work independently and collaboratively in a team environment.
  • Strong analytical and reasoning abilities with excellent attention to detail.
  • Adaptable to changes in workload and assignments.
  • Proactive and self-directed with strong initiative.
  • Effective time management and organizational skills.
  • Proficient in Microsoft Office Suite, especially Excel, PowerPoint, and Word.
  • Comfortable handling multiple tasks and deadlines efficiently.

Your Daily Tasks

Accounting & Dispute Resolution Duties

  • Assist the Accounts Payable team in auditing ocean import and customs duty invoices by partnering with internal departments, freight forwarders, carriers, and customs brokers.
  • Submit and manage dispute claims for incorrect or invalid charges on ocean freight, accessorial fees, and customs duties.
  • Support the AP team in disputing LTL invoices with discrepancies or incorrect charges.
  • Communicate with vendors regarding disputed invoices and follow up until resolution.
  • Respond to inquiries from ocean freight vendors and internal teams to address invoice discrepancies.
  • Ensure customs duty corrections are submitted promptly.
  • Maintain accurate records in the ERP system and BOX file storage.
  • Proactively review and improve internal and external processes to enhance efficiency and profitability.
  • File monthly shipping claims to the factory.
  • Assist the AR team in filing chargebacks for invalid deductions and payment discrepancies.

LTL Claims Management

  • Manage the end-to-end LTL claims process, including filing, reconciliation, and closure, while ensuring compliance with internal deadlines and procedures.
  • Investigate and resolve freight damages, losses, and shortages.
  • Review and document all supporting claim documentation.
  • Monitor ERP claim reports to ensure timely submission and resolution.
  • File claims with LTL providers for damage, concealed damage, or lost shipments.
  • Coordinate with carriers and internal teams to gather necessary documentation and evidence for claim filings.
  • Negotiate with carriers to ensure fair and timely claim settlements to minimize company losses.
  • Follow up with LTL vendors regarding outstanding claims.
  • Maintain accurate and up-to-date claim records in ERP and BOX.
