Schedule: Monday to Friday, 10:00 AM – 2:00 PMClient Timezone: Australia Eastern Time (Gerringong, NSW)
Total Weekly Hours: 20 hours (potential to scale to full-time)
Join a growing healthcare technology company as a Healthcare Administrative Assistant. In this role, you'll be the first point of contact for clients, managing communications, coordinating bookings, and keeping everything on track with precision. This is a fantastic opportunity to grow with the company, starting part-time with the possibility of moving into a full-time role as operations expand.
Responsibilities
Manage 30–40 daily email inquiries related to client progress, bookings, and clinical notes
Provide basic customer support via email and occasional phone calls
Enter and maintain client data and referral details in proprietary software
Assign and coordinate tasks for healthcare providers
Follow up on bookings and track progress through internal systems
Update and manage Google Sheets tracking for client status monitoring
Act as liaison between providers and clients to ensure smooth communication
Support general administrative tasks as business needs grow
Requirements
Background in healthcare industry preferred (physiotherapy, massage therapy, occupational therapy)
Strong email management and professional communication skills
Ability to quickly learn proprietary systems and workflows
Detail-oriented with strong organizational and tracking skills
Previous customer service or administrative support experience preferred
Reliable internet connection and remote work readiness
Willingness to undergo training for healthcare-specific processes
