The Role
We are seeking an accomplished and resourceful Administration professional to join our dynamic team on a maternity cover basis. In this role, you will serve as the first point of contact for clients and visitors, ensuring a welcoming environment while providing administrative and management support to the office. Your role involves booking of meeting rooms and performing administrative tasks to maintain efficient office operations. This role will report to the Chief Excecutive Officer and the Office Manager.

Your Key Responsibilities Will Include

  • Create a welcoming environment for internal and external stakeholders and visitors.
  • Coordinate guest reception & visitors - ensuring a professional and courteous experience for all visitors.
  • Assist in booking meeting rooms and ensure to manage room assignments in accordance to number of attendees.
  • Ensure meeting rooms are set-up for scheduled meetings, appointments or workshops.
  • Assist in routing electronic signing, ensuring that each signatory receives the document in an orderly manner. Monitor the status of each document to ensure it is sent promptly to all designated signatories.
  • Assist in collaborating with relevant teams to ensure seamless event logistics, including catering, materials preparation and other relevant setup.
  • Coordinate transportation of guests and employees, which may include scheduling car rentals, taxi or shuttle services based on their needs and preferences.
  • Ensure that transportation arrangements are aligned with the guest's arrival and departure time.
  • Carry out administrative duties such as filing and copying, printing, scanning and binding of material and presentations.
  • Receiving and storing documents in a structured manner and ensuring seamless access and organization of essential documents.
  • Provide PA support to top management with ad hoc administrative and personal tasks such as updating travel expenses, etc.
  • Assist procurement team in project documentation.
  • Assist the EPC team with ad hoc tasks as required.

Your Experience

  • Bachelor's degree in Business Administration, Facility Management, HR Management, or a related field (or equivalent experience).
  • Proven experience in facility management, operations coordination, and HR support roles.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication and interpersonal abilities, fostering productive relationships with internal teams and external contractors.
  • Detail-oriented mindset, ensuring accuracy in document control and adherence to standards.
  • Familiarity with Health, Safety, and Environmental standards and compliance protocols.
  • Fluent in English, has a solid knowledge of MS Office.
  • Structured, thorough and with a high attention to detail.
  • Resilient, service minded and positive can-do attitude.
