About Us
Wheatland Health Systems is expanding its home- and community-based services with the launch of a new Durable Medical Equipment (DME) division. As a fast-growing, ACHC-accredited healthcare organization, we take pride in providing exceptional, patient-centered care throughout Florida.
We are seeking a highly organized, detail-oriented DME Coordinator who will play a key operational role in launching and managing our DME services. This position is ideal for someone who is proactive, efficient, and comfortable managing multiple administrative responsibilities.
Position Summary
The DME Coordinator is responsible for managing all incoming DME orders, verifying documentation, handling authorizations, coordinating deliveries, maintaining patient files, and supporting day-to-day administrative operations of the DME division.
This is a multi-functional administrative role that touches all stages of the DME workflow — from referral intake to equipment delivery.
Key Responsibilities
Referral Intake & Documentation
- Receive, review, and process incoming DME referrals and orders
- Verify physician prescriptions, face-to-face documentation, and payer requirements
- Ensure all required forms and documents are complete and compliant
- Create and maintain organized digital patient records
Authorization Management
- Verify insurance eligibility and coverage
- Prepare and submit authorization requests to payers
- Track approval, denial, and expiration timelines
- Communicate authorization status to patients, caregivers, and internal staff
Customer Service & Communication
- Provide timely support to patients, families, case managers, and referral partners
- Manage incoming phone calls, emails, and documentation requests
- Follow up on missing information and resolve issues proactively
Delivery & Logistics Coordination
- Schedule equipment deliveries and pickups
- Coordinate with drivers and vendor partners
- Upload delivery tickets, proof-of-delivery, and related documents
- Track rental equipment returns and equipment replacement needs
Inventory & Supply Tracking
- Monitor inventory levels for consumable supplies
- Place replenishment orders through vendors
- Maintain logs of equipment and supply usage
Compliance & Accreditation Support
- Maintain required accreditation logs (incident, complaint, equipment logs, QI)
- Ensure all files remain audit-ready
- Follow internal SOPs and regulatory standards
Qualifications
Required
- 1+ year of experience in healthcare administration (DME, home health, HMO, utilization review, intake, or similar)
- Excellent English communication skills (written and verbal)
- Strong attention to detail and accuracy
- Ability to multitask and manage several workflows simultaneously
- High level of professionalism and organization
Preferred
- Experience with durable medical equipment
- Knowledge of insurance authorization processes
- Familiarity with Medicare/Medicaid/HMO documentation requirements
- Experience coordinating multi-step healthcare workflows
