The Admin Officer with Purchasing and Asset/Fleet Management expertise is responsible for coordinating procurement activities, maintaining asset inventories, overseeing fleet operations, and ensuring smooth administrative support. The role ensures cost-efficient purchasing, compliance with company policies, and timely availability of resources to support business operations.
Duties and ResponsibilitiesAdministrative
- Provide general administrative support to departments.
- Maintain organized documentation and records for all admin functions.
- Coordinate office maintenance, supplies, and service providers.
- Source suppliers, request quotations, and prepare price comparison sheets.
- Process purchase requests and purchase orders following company policy.
- Negotiate with suppliers for cost-efficient and quality purchases.
- Monitor deliveries and ensure timely receipt of items.
- Maintain updated asset inventory (IT equipment, tools, office assets, etc.).
- Conduct periodic physical asset audits.
- Track asset issuance, movement, repairs, and disposal.
- Ensure proper tagging, documentation, and safeguarding of company assets.
- Oversee vehicle scheduling, dispatch, and utilization.
- Monitor fuel consumption and maintenance schedules.
- Coordinate repairs, insurance renewal, and registration of vehicles.
- Ensure compliance with safety and operational policies.
Purchasing
- PR to PO processing time (target: within 1–2 days).
- Supplier delivery accuracy and timeliness (95% on-time deliveries).
- Cost savings achieved through negotiation (annual % target).
- Compliance rate with procurement procedures (100%).
- Asset inventory accuracy (98–100%).
- Timeliness of asset tagging and documentation (within 3 days of acquisition).
- Completion of scheduled asset audits (100% quarterly/annual).
- Reduction in asset loss or unaccounted items (0% unaccounted).
