Job Title: Personal Secretary (Stay-In / Stay-Out Options Available)
Location: Lapaz, Iloilo City
Work Arrangement: Primarily Home Office, with occasional coordination with Site Office
Job Overview
We are looking for a proactive, organized, and trustworthy Personal Secretary who will work closely with the COO in managing day-to-day administrative, personal, and operational needs. The ideal candidate is someone who is reliable, detail-oriented, and can handle both office tasks and light personal errands with minimal supervision.
You will be based mainly in the home office and will coordinate regularly with the site office team.
Key Responsibilities
Administrative Support
- Manage and organize home office files (physical and digital)
- Prepare documents, letters, and basic reports
- Handle scheduling, calendar management, and appointment setting
- Monitor reminders, deadlines, and follow-ups
Financial & Office Tasks
- Assist in check preparation, issuing, and basic recording
- Coordinate with suppliers, contractors, and site office staff as needed
- Handle deliveries, documentation, and basic procurement tasks
Errands & Personal Assistance
- Run personal errands when necessary (payments, pickups, deliveries)
- Arrange bookings, reservations, and travel schedules when needed
- Maintain orderly workspaces and ensure materials are stocked
Qualifications
- College graduate preferred, but open to undergraduates with relevant experience
- Strong organizational skills and attention to detail
- Trustworthy and capable of handling sensitive and confidential information
- Good communication skills, both written and verbal
- Able to work independently and adapt to fast-paced tasks
- Basic proficiency in MS Office or Google Workspace
- Experience as a secretary or personal assistant is a plus
Work Schedule
- Monday to Saturday
- Regular working hours; occasional flexibility required depending on urgent tasks
