Position Overview: Sales Solutions Specialist

The Sales Solutions Specialist provides critical administrative and operational support to the Carrier & Sales Solutions Partner, ensuring accuracy, timeliness, and efficiency in proposal development, carrier submissions, and sales support processes. This role focuses on managing details, maintaining organized documentation, and assisting in the execution of carrier and sales functions that drive business growth and client retention.

The Specialist serves as a dependable resource for data management, proposal preparation, and carrier communication support. By handling day-to-day tasks and process coordination, the Sales Solutions Specialist enables the Partner to focus on higher-level strategy, complex submissions, and relationship management. This role offers an opportunity to build specialized knowledge of carrier processes, benefit plan structures, and sales operations, with potential for advancement into more independent responsibilities.

Key Responsibilities

Submission & Proposal Support

  • Assist in preparing and organizing documentation for new business and renewal submissions.
  • Support the management of DocuSign Workspaces for client submissions.
  • Track submission statuses and follow up with carriers as directed by the Partner.
  • Assist with benefit presentation materials, spreadsheets, and proposal templates for client meetings.

Carrier & Sales Coordination

  • Support distribution of RFPs to carriers and help organize incoming responses.
  • Maintain up-to-date carrier contact lists and communication logs.
  • Assist in compiling plan comparisons, summaries, and supporting documents for sales agents.

Process & Resource Management

  • Maintain and update carrier-specific submission checklists and training documents.
  • Organize underwriting guidelines, forms, and state-by-state requirements.
  • Assist with maintaining internal knowledge libraries, ensuring resources are accurate and current.

Systems & Data Oversight

  • Update CRM and project management systems with carrier, plan, and sales contact information.
  • Ensure accuracy of benefit plan data libraries, templates, and carrier records.
  • Support the benefit upload process into DS, Sensible, or similar systems.

Qualifications

  • 1–2 years of experience in employee benefits, insurance operations, or administrative support preferred.
  • Strong organizational skills with high attention to detail.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Excel, Word, PowerPoint, and CRM/project management tools.
  • Excellent written and verbal communication skills.
  • Willingness to learn carrier processes, state requirements, and benefit plan structures.

  • Detail-oriented with strong data entry and accuracy skills.
  • Process-driven, with the ability to follow established protocols and adapt to new workflows.
  • Collaborative and dependable team player with strong follow-through.
  • Proactive in identifying gaps, clarifying instructions, and escalating issues when needed.

Knowledge (to be developed in role)

  • Carrier submission processes, underwriting guidelines, and proposal requirements.
  • State-specific regulations for small and mid-sized group health insurance.
  • Internal CRM, project management, and benefit administration systems.
  • Benefit plan terminology and key concepts in group health, dental, vision, life, and disability
