Key Responsibilities
Project Management
  • Coordinate all stages of book development, from concept to delivery, ensuring adherence to timelines and budgets.
  • Maintain detailed project trackers, schedules, and progress reports across multiple simultaneous titles.
  • Ensure smooth workflow between editorial, design, illustration, and production teams.
  • Monitor production milestones (manuscript submission, illustration deadlines, design drafts, proofing, printing, shipping).
Stakeholder Coordination
  • Serve as the primary liaison between authors, artists, consultants, editors, and external partners.
  • Support international collaborations (e.g., artists, institutions, city governments, and religious organizations).
  • Draft and manage communication with contributors, ensuring clarity and professionalism.
  • Assist in coordinating with printers, shippers, and distributors to ensure timely production and global delivery.
Administrative & Documentation
  • Prepare and manage contracts, agreements, and compliance documents (in collaboration with legal counsel).
  • Maintain project files, artwork permissions, copyright clearances, and archival records.
  • Handle project-related correspondence, meeting notes, and follow-ups.
Financial Tracking
  • Assist in monitoring project budgets, expense reports, and vendor payments.
  • Prepare financial summaries for project status updates.
  • Support grant, sponsorship, or fundraising documentation when projects involve philanthropic components.
Marketing & Events Support
  • Coordinate logistics for book launches, exhibitions, and promotional events (domestic and international).
  • Work with the marketing team to support social media, press kits, and promotional materials.
  • Assist with coordination for major events (e.g., Frankfurt Book Fair, cultural anniversaries, exhibits).
Qualifications
Education & Experience
  • Bachelor's degree in Publishing, Communications, Business Administration, or related field.
  • 2–4 years of experience in project management, publishing, creative industries, or cultural institutions preferred.
  • Experience coordinating multi-stakeholder projects across international partners is an advantage.
Skills & Competencies
  • Strong organizational and multitasking abilities; able to manage several projects simultaneously.
  • Excellent written and verbal communication skills (English required; additional languages a plus).
  • Proficiency in Microsoft Office, Google Workspace, and project management tools (Asana, Trello, or similar).
  • Familiarity with Adobe Creative Suite is a plus (basic working knowledge sufficient).
  • Financial literacy: basic ability to track budgets, invoices, and payments.
  • A keen eye for detail, with appreciation for design, art, and publishing.
