A Sales Secretary provides administrative support to the sales team, handling tasks like correspondence, scheduling, data entry, and customer inquiries to ensure smooth operations and efficient communication. Key duties include managing phone calls and emails, preparing sales reports and invoices, coordinating meetings, and maintaining client and sales records. The role requires strong organizational and communication skills, attention to detail, and proficiency in office software.

Key responsibilities

  • Administrative tasks:

Handle all clerical duties, including typing, filing, data entry, and preparing and proofreading documents like reports, invoices, and correspondence.
- Communication:

Answer and direct phone calls, respond to emails, and act as a liaison between the sales team, clients, and other departments.
- Scheduling and coordination:

Schedule appointments and meetings for the sales team, organize meeting logistics, and potentially arrange travel.
- Client and sales support:

Assist with client inquiries, help maintain customer contact lists, and follow up on orders or deliveries.
- Data management:

Maintain and update manual and computerized information filing systems, compile data for reports, and manage databases.
- Office management:

Order and maintain office supplies and inventory.
