Position Overview

The Medical Administrator plays an integral role in supporting the company's clinicians and management team by coordinating patient administration and ensuring efficient day-to-day operations. Working remotely, this position assists with appointment scheduling, patient documentation, report preparation, and communication across clinical and operational teams to help deliver compassionate, high-quality care.

Key Responsibilities

Administrative Support

  • Formatting specialist reports (content already written by a geriatrician)
  • Uploading and distributing specialist letters to GPs and facilities via email
  • Managing shared inbox and responding to emails in a timely manner
  • Requesting clinical documentation from referrers/specialists
  • Uploading documents into a cloud-based EMR (Clinic to Cloud)
  • Maintain strict confidentiality and uphold the company's privacy and data-security standards.

Administrative Coordination

  • Manage scheduling for doctors and patients via our electronic practice system (Clinic to Cloud).
  • Confirm appointments, ensure all required documentation is uploaded, and coordinate follow-ups.
  • Register new patients and update demographic and clinical information.
  • Create new doctor contacts.
  • Upload and file documentation accurately within the EMR system.

Operational Support

  • Liaise with clinicians and management to support service delivery and workflow efficiency.
  • Track and follow up outstanding documentation or reports from hospitals, referrers, and facilities.
  • Support requests as directed by management.
  • 1:1 weekly meeting with Operations Manager
  • Preparedness and participation in the weekly meeting

Requirements

  • Prior experience in medical administration or virtual healthcare coordination (minimum 3 years preferred).
  • Familiarity with Clinic to Cloud or similar EMR/practice management systems.
  • Strong attention to detail, organisation, and follow-through.
  • Clear communication and time-management skills
  • Prioritising tasks and confidence to ask questions in a timely manner
  • Reliable internet connection and ability to work remotely within Australian business hours.

Work Schedule: Day shift (6am to 3 pm Manila Time, Monday to Friday)

Work Set-up: WFH (must have at least 20 mbps Internet speed connection at home)
