Data Licensing Associate

Hi We're Smartsourcing, and we're looking for a full-time, onsite Data Licensing Associate to join our team In this role, you'll keep data operations running like clockwork—handling tickets, managing access, tracking MLS updates, and maintaining accurate documentation. You'll be the backbone that keeps everything organized and compliant behind the scenes.

Where? JEG Tower, Archbishop Reyes, Corner Acacia St., Barangay Kamputhaw, Cebu City, 6000 Cebu

Bookkeeping & Documentation

• Organize and save receipts from the general mailbox in PDF format.
• Upload and label receipts in Rippling, and update SharePoint by end-of-month.

Access Management

• Process access suspension requests for brokerages or individual users through Roster, based on cancellations or missing documentation.

Ticket Management

• Create and maintain tickets for various MLS-related activities, including:

• Kick-off tickets – assign new MLS IDs and abbreviations.

• Sweep tickets – onboard new MLSs after kick-off.
• Conversion tickets – manage transitions between platforms (e.g., RESO to API).
• Report requests – handle one-time or recurring MLS reports.
• Compliance tickets – manage IDX compliance updates such as logos and MLS name changes.
• Disclaimer updates – update and maintain MLS disclaimers.

General Administration

• Review and approve TREB/Proptx requests from the mailbox:

• Approve DLA requests automatically.

• For IDX/VOW, reject invalid links but approve valid brokerage websites.

• Save contracts and approvals, upload them to SharePoint, and activate company contracts in Roster.

• Add new agents to license agreements in Grid or Trestle (e.g., SK, REBNY).

You'll succeed in this role if you have:

• Bachelor's degree in Information Technology, Computer Science, or a related field
• Technical proficiency
• Attention to detail and accuracy
• Strong organizational skills
• A self-starter mindset — able to work independently
• Excellent written and spoken communication skills
• Technical documentation skills
• Ability to stay efficient and focused in a fast-paced environment

Bonus Points if You Have:

• Experience working in a SaaS (Software-as-a-Service) company or tech-driven environment
• Familiarity with data platforms, CRMs, or ticketing tools
