- Position Overview
The Finance Manager manages team workload to ensure that invoices are processed on time and Final Disbursement Accounts (FDA) are submitted to customers on or before the set deadline. Monitors team's KPI and continuously review current processes for any improvement to increase efficiency.
- Operational Oversight:
· Manage end-to-end invoice processing for PO and non-PO invoices, including 3-way match and approval controls.
· Ensure timely registration, coding and posting of invoices and FDAs in the system.
· Monitor supplier statements and resolve discrepancies promptly.
- Leadership & People Development:
· Supervise and mentor Invoice Processing supervisors and staff.
· Provide coaching and guidance on new processes and owner requirements.
· Develop training plans for new hires, supervisors and foster continuous learning.
- Performance & Process Management:
· Monitor team KPIs and ensure workload distribution meets deadlines.
· Lead projects focused on process improvement and automation for efficiency gains.
· Update and maintain process guidelines in compliance with owner requirements
- Stakeholder and Vendor Communication:
· Monitor and resolve queries promptly; provide support for vendor follow-ups.
· Ensure timely responses to inquiries from other departments regarding invoice status.
· Coordinate with payment teams for remittance schedules and supplier communication.
- Compliance and Vendor Management:
· Assist in vendor bank account details verification and vendor case creation for registration of new vendors in the system.
· Assist in providing required samples or information for audit.
· Ensure adherence to internal controls and audit requirements.
1. NEED TO HAVE
- Qualifications – Graduate of 4-yrs course related to Finance/Accounting/Accountancy
- Requirements / Experience – at least 3-5-year experience in similar role
2. NEED TO KNOW
- Basic knowledge on accounting principles and practices
- Use of Microsoft office such as excel, word, ppt.
3. NEED TO BE
- Attention to details.
- Willingness to learn.
- Flexible or adaptable to change.
- Proficient in communications both verbal and written.
- Able to manage people/staff.
