Job description:

I. Job Summary

This role ensures optimal conditions of all offices, warehouses and manufacturing facilities that PAI use to conduct its business. The Facilities Management Assistant Manager (FMAM) coordinates with all business units and departments within PAI to achieve maximum usage of available space. He/She is also responsible in managing a Facilities Maintenance Supplier/Contractor in cases where organic PAI personnel is not available to perform the upkeep and maintenance of PAI properties.

II. Roles and Responsibilities Summary

Leadership & Team Management

  • Coordinates with all PAI business units and departments for space planning, facility maintenance and facility improvement requirements.
  • Conducts Supplier Selection and Performance Management for the Facilities Maintenance Requirements.

Engineering Operations

  • Coordinates with Supply Chain and Manufacturing departments for operational support
  • Direct the planning and execution of preventive, corrective, and predictive maintenance programs to ensure facilities are kept in optimal working conditions for both offices and manufacturing floors.
  • Supervise the implementation of Maintenance Management Systems (e.g., CMMS) and ensure accurate data recording and reporting.
  • Ensure timely resolution of facilities equipment breakdowns to minimize disruption in Operation.

Project Management

  • Lead Facilities Improvement projects from concept to completion, including scope definition, contractor selection, budgeting, and execution.
  • Ensure compliance with project specifications, timelines, and safety standards.

Facilities & Equipment Oversight

  • Manage the maintenance and improvement of plant facilities, including buildings, grounds, and utilities (boilers, compressors, chillers, etc.).

Compliance & Safety

  • Ensure Compliance and Adherence to Philippine Building Code and DENR requirements for Offices, Warehouse and Manufacturing facilities.
  • Conduct hazard assessments and implement engineering controls to mitigate risks.

Financial & Resource Management

  • Monitor departmental budgets and implement cost control measures.
  • Review expenditures and identify opportunities for operational efficiency and savings.

Continuous Improvement

  • Drive Cost Saving initiatives to reduce cost of maintenance.
  • Ensure space optimization initiatives are supported and implemented.

III. Qualifications and Education Requirements

  • Bachelor's degree in mechanical or electrical engineering (Licensed Engineer preferred)
  • Minimum of 7 years of experience in Facility management, with at least 5 years in a supervisory or managerial role
  • Proven experience in Facility maintenance and project management
  • Strong knowledge of civil, mechanical and electrical systems as applied to Building maintenance and improvement.
  • Demonstrated experience in Facility Management Supplier Selection and Management

IV. Preferred Skills

· Technical and Engineering skills

  • Mechanical and Electrical Engineering Knowledge: Understanding of machinery used in adhesive production, including mixers, reactors, and packaging equipment.
  • Preventive and Predictive Maintenance: Experience with maintenance strategies to minimize downtime.
  • Adhesive Manufacturing Processes: Familiarity with formulations, curing processes, and quality control specific to adhesives.
  • Environmental Compliance: Knowledge of regulations related to chemical manufacturing (e.g., EPA, OSHA).

· Managerial and organizational skills

  • Project Management: Ability to lead facility upgrades, equipment installations, and process improvement projects.
  • Budgeting and Cost Control: Experience managing operational budgets and capital expenditures.
  • Team Leadership: Skills in supervising technicians, engineers, and contractors.
  • Vendor and Contractor Management: Negotiating and managing service contracts and equipment supplier

· Analytical and Problem solving skills

  • Root Cause Analysis: Proficiency in identifying and resolving equipment and process issues.
  • Data-Driven Decision Making: Using KPIs and maintenance data to guide improvements
  • Cross-Functional Collaboration: Working with production, quality, safety, and R&D teams.
  • Reporting and Documentation: Clear communication of maintenance schedules, compliance reports, and project updates
  • Approve acceptance reports and ensure proper documentation of maintenance activities.
