Reports to: Mall Manager / Operations Manager
Job Summary:
The Operations Assistant supports the Mall Manager in ensuring the smooth and efficient day-to-day operations of the mall. This role involves assisting in administrative tasks, tenant coordination, documentation, and monitoring of maintenance and operational activities. The Operations Assistant plays a key role in maintaining high service standards, ensuring operational compliance, and contributing to an excellent shopping experience for tenants and customers alike.
Key Responsibilities:
1. Administrative and Operational Support
- Assist in the preparation, organization, and monitoring of operational reports, permits, and documentation.
- Support the Mall Manager in coordinating daily operational activities and addressing tenant concerns.
- Handle correspondence, filing, and scheduling of meetings related to mall operations.
- Monitor compliance of tenants with mall rules, safety standards, and operating procedures.
2. Coordination and Monitoring
- Coordinate with maintenance, security, and housekeeping teams to ensure smooth mall operations.
- Follow up on work requests, service orders, and preventive maintenance schedules.
- Track and report incidents, service issues, and mall-related concerns to management.
- Assist in implementing operational policies and improvement programs.
3. Financial and Procurement Support
- Assist in the preparation of purchase requests, budget monitoring, and expense tracking.
- Verify and process billing, supplier invoices, and other related documents.
- Support cost-control initiatives and monitor utilization of mall resources.
4. Tenant and Customer Relations
- Act as a point of contact for tenant inquiries and operational requirements.
- Support tenant move-in/move-out activities and documentation.
- Participate in mall events, promotions, and marketing activities as needed.
5. Reporting and Documentation
- Prepare daily, weekly, and monthly operational reports.
- Maintain updated records of service contracts, permits, and inspection reports.
- Provide data and administrative support for audits and management reviews.
Qualifications:
- Education: Bachelor's Degree in Business Administration, Management, or related field.
- Experience: At least 1 year of experience in mall operations, property management, or administrative support (fresh graduates are welcome to apply).
Skills:
Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Detail-oriented, proactive, and able to work with minimal supervision.
- Other: Willing to work on weekends or holidays as mall operations require.
