Job Purpose:
Assist the President in managing the Administration Division to achieve its objectives by leading and overseeing the management of company properties, including fixed assets, consumable and non-consumable supplies, and other company resources. Ensure operational efficiency, compliance, and cost-effectiveness across administrative and supply chain functions.
Key Responsibilities:
1. Asset & Supply Chain Management
- Manage and monitor inventory of company fixed assets and supplies stored in the warehouse.
- Oversee efficient procurement of company assets for both Head Office and retail operations, ensuring timely delivery and cost optimization.
- Implement supply chain best practices, including vendor management, logistics coordination, and demand forecasting.
2. Budget & Cost Control
- Ensure all purchases and travel expenses are within approved budgets.
- Monitor and analyze administrative costs, identifying opportunities for savings without compromising quality.
3. Motorpool & Logistics Management
- Manage scheduling and dispatch of service vehicles for merchandise, materials, and personnel transport.
- Monitor transportation activities to ensure timely and safe delivery of goods and services.
4. Safety, Cleanliness & Compliance
- Maintain a safe and orderly work environment in compliance with government labor and environmental regulations.
- Plan and implement environmental monitoring programs and investigate incidents to ensure workplace safety.
- Act as Safety Officer for Head Office employees, ensuring adherence to health and safety standards.
5. People Management
- Oversee administrative staff schedules and ensure timely submission of reports.
- Monitor staff performance and manage regularization processes based on performance metrics.
- Provide training and development opportunities to enhance team capabilities.
Qualifications:
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field
- At least 3 years of experience managing an Administrative Department, preferably in a retail environment
- Proficient in ERP systems and Microsoft Office Suite
- Must be willing to report onsite in MOA Complex, Pasay City.
