I. JOB DUTIES AND RESPONSIBILITIES
- Schedule and coordinate business travel, including flights, accommodations, and transportation. Adhere to global travel policies.
- Handle general administrative tasks like mailing, scanning, and faxing. Manage filing systems and maintain office supplies.
- Provide support for company vehicle maintenance and management.
- Reporting and communication: Prepare reports, presentations, and documents. Handle correspondence and act as a liaison between different departments and stakeholders.
- Process and monitor expense reports, ensuring compliance with company standards.
- Arrange and coordinate meetings, including preparing agendas and taking minutes.
- Assist with basic technology troubleshooting for the supported executives or staff.
II. JOB QUALIFICATIONS
- A Bachelor's degree is often required.
- Previous experience in an administrative or executive assistant role is beneficial.
- Advanced skills in the Microsoft 365 suite, including Word, Excel, and Teams, are crucial.
- Excellent oral and written communication, strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
- Discretion and professionalism are important for handling sensitive information.
