Document Control and Process Improvement Officer
Overview
We are seeking a highly organized and proactive Document Control and Process Improvement Officer to join our team across all project sites. This is a supervisory role responsible for both establishing robust document management systems and driving operational excellence within the organization. The ideal candidate will bridge technical document control, quality assurance, and process optimization across our Design and Construction teams. This critical position ensures all project and company documentation is systematically managed, controlled, and updated while continuously improving standards and operational workflows.
Core Responsibilities
Document Management: Establish, manage, and maintain all project documentation (drawings, contracts, reports, etc.) ensuring version control , security , and easy retrieval.
Operational Excellence: Lead initiatives to analyze current workflows, forms, and approval processes to identify and eliminate inefficiencies. Develop and implement Standard Operating Procedures (SOPs) for project and office operations.
Continuous Improvement: Facilitate process mapping, root cause analysis, and improvement initiatives using methodologies like Lean or Six Sigma.
Compliance & Reporting: Ensure compliance with record-keeping regulations and generate regular reports on document status and operational KPIs.
Cross-Functional Collaboration: Coordinate with Design, Construction, and Administrative teams to standardize documentation and processes.
Key Qualifications
Education: Bachelor's degree in Business Administration, Project Management, Industrial Engineering, or a related field is typically preferred.
Experience: Minimum 3-5 years of experience in Document Control, preferably in a construction or project-based industry. Experience in process mapping or operational excellence initiatives is a strong advantage.
Technical Skills: Expert proficiency in Document Management Systems (DMS) and strong knowledge of version control methodologies.
Knowledge: Strong understanding of document control best practices and knowledge of continuous improvement or lean methodologies is highly desirable.
Soft Skills: Excellent organizational skills, strong attention to detail, and excellent communication skills.
