The company needs a Messenger to facilitate the efficient exchange of documents, information, and communications between departments. In a fast-paced office environment, timely delivery of documents and messages is essential for maintaining workflow continuity, supporting decision-making processes, and ensuring compliance with internal policies and procedures. By having a dedicated Messenger, the company can streamline interdepartmental communications, reduce administrative delays, and enhance overall organizational efficiency.

WHAT YOU WILL DO:

  • Document Delivery: Collect and deliver documents, correspondence, and packages, ensuring prompt and secure delivery to designated recipients within the organization.
  • Mail Sorting: Sort incoming and outgoing mail for the Accounting and HR departments, distributing mail to appropriate recipients and departments, and ensuring accurate and timely processing of mail items.
  • File Retrieval: Retrieve files, records, or documents from storage areas or archives as requested by Accounting and HR, maintaining proper documentation and tracking of file movements.
  • Information Relay: Relay messages, inquiries, or requests between accounting and HR personnel, communicating information accurately and promptly to facilitate effective collaboration and coordination between departments.
  • Office Errands: Run errands as needed, such as delivering office supplies, equipment, or materials, or assisting with miscellaneous tasks to support departmental operations.
  • Document Handling: Handle sensitive or confidential documents with discretion and confidentiality, adhering to data protection and privacy policies to safeguard sensitive information.
  • Record Keeping: Maintain accurate records of document deliveries, mail distribution, and errand requests, documenting date, time, recipient, and purpose of each delivery or task performed.
  • Equipment Maintenance: Ensure the cleanliness and proper functioning of office equipment, such as photocopiers, scanners, and fax machines, reporting any issues or maintenance needs to the appropriate personnel.
