Veterinary Assistant (Clinical, Reception & Admin Support)

Location: Mendez Crossing East, Tagaytay City

Qualivets Veterinary Clinic is looking for a reliable, detail-oriented, and compassionate Veterinary Assistant who can support both patient care and basic reception/administrative tasks. This role is ideal for someone who enjoys hands-on animal care while also interacting with clients and helping keep clinic operations organized and efficient.

Job Summary

The Veterinary Assistant provides essential support in patient care while also performing assistant receptionist and basic administrative duties. This dual-role position helps ensure smooth clinic operations, accurate record-keeping, and excellent client service—all aligned with the mission, vision, and goals of Qualivets Veterinary Clinic.

Key Responsibilities

A. Patient Care & Veterinary Support

• Assist veterinarians in safely restraining pets during consultations, treatments, and procedures
• Prepare instruments, materials, and medications for veterinary procedures
• Monitor patients before and after procedures and promptly report changes to the veterinarian
• Maintain cleanliness and sanitation of consultation and treatment rooms
• Refill, organize, and monitor injectables, supplies, and stocks in treatment areas

B. Assistant Receptionist Duties

• Support reception staff in welcoming clients and managing clinic flow
• Schedule, confirm, and check appointments using Kreloses
• Properly schedule vaccinations, deworming, antiparasitics, follow-ups, and other preventive services
• Attach laboratory results to patient records and update pet profile in Kreloses
• Ensure procedures, medications, and services are accurately billed
• Dispense prescribed medicines and give basic instructions as guided by the veterinarian
• Assist with payment handling and daily sales remittance when needed

C. Client Service & Education

• Assist veterinarians in educating clients on preventive care, treatments, and follow-up instructions
• Provide friendly, respectful, and professional client service
• Recommend appropriate preventive products and services in line with clinic standards

D. Administrative & Inventory Responsibilities

• Accurately record patient and client details in Kreloses
• Monitor and maintain reception and treatment area supplies
• Participate in monthly inventory control
• Ensure reception and treatment areas are neat, organized, and well-stocked
• Render night duties and Sunday duties as scheduled
• Perform other tasks assigned by the supervisor or management

E. Teamwork & Growth

• Uphold Qualivets' mission, vision, goals, and clinic policies
• Collaborate effectively with veterinarians, receptionists, and fellow assistants
• Continuously learn proper client education, animal handling, and veterinary procedures
• Participate in meetings, trainings, and team discussions

F. Performance Expectations

• Provide effective and safe assistance during veterinary procedures
• Maintain complete and accurate patient and billing records
• Ensure clinic cleanliness, readiness, and proper stock levels
• Deliver excellent client service that builds trust and repeat visits
• Demonstrate punctuality, honesty, professionalism, and dedication

Qualifications

• SHS or College Graduate
• Experience in veterinary clinics, animal care, or front-desk support is an advantage
• Comfortable handling pets and multitasking in a fast-paced environment
• Detail-oriented, organized, and trustworthy
• Willing to learn, flexible, and team-oriented
