About the Role:

The Sales Reservation and Documentation Officer is responsible for managing the end-to-end reservation process of property units—ensuring accuracy, completeness, and compliance with company policies. This role involves close coordination with clients, sales teams, and internal departments to secure reservations, process documentation, and maintain updated records in the system. The officer plays a vital role in supporting the Sales and Marketing Team in achieving sales targets while delivering excellent client service and administrative support.

Key Responsibilities:

  • Facilitate the reservation of property units, ensuring all requirements are accurately completed and processed on time.
  • Coordinate with the Sales and Marketing Team to help achieve the year-end sales target.
  • Maintain updated records of reservations, client details, and unit availability.
  • Ensure accuracy and completeness of all sales documentation and forms.
  • Verify that all transactions comply with company policies and legal requirements.
  • Maintain organized filing systems (both physical and digital) for all sales and client records.
  • Monitor and track the progress of reservations through to contract preparation.
  • Contribute to process enhancement initiatives that improve efficiency and documentation accuracy.
  • Prepare regular reports on reservations, client status, and documentation progress.
  • Coordinate with other departments (Finance, Admin, Legal) for end-to-end processing and verification.

Qualifications:

  • Bachelor's degree in Business Administration, Marketing, Management, or any related field.
  • At least 1–2 years of experience in sales coordination, documentation, or administrative support (real estate background is a plus).
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office and capable of handling data management systems.
  • Proactive, trustworthy, and able to manage multiple tasks efficiently.
