Overall Purpose of The Job
This role delivers compliant and timely visa support for the crew.
The incumbent is responsible for flawless delivery of visa support responsibilities such as appointment arrangements for approved crew, digitally providing necessary documents required for visa application for approved crew, and ensuring 100% usage of ShipSure in visa support activities.
Key Responsibilities And Tasks
- Ensures compliant and timely visa support for the crew
- Ensures all required documents (visa copies) are digitally captured in ShipSure on time
- Maintain regular contact with crew
- Monitors changes in visa application processes
- Keeps close contact with Consulates and Visa centers
- Provides Business Visa Invitations for foreign colleagues
- Applies standard procedures to obtain visas and seeking way of providing services within non-standard visa requests
- Completion of task impacts daily operational performance and achievement of operational metrics
- Utilizes professional knowledge guided by visa application procedures/protocols.
- Works with seafarers and team members from other teams within the function
- Responsible for delivery of professional activities
- Supervises the Cell operations of the Documentation Department..
- Monitors the status of employment documentation of crew under process and follow up to the concern Authorities to ensure that they meet the Principal's joining schedule.
- Prepares documentation requirements of the POEA for principal and vessel accreditation.
- Prepares and files documents required by the POEA for the release of vessels acquired by other company. The General Manager shall approve the release of the vessel before submission to POEA.
- Counter checks all POEA contracts prior forwarding to the Liaison Officer for processing. Coordinates with Accounting department regarding contract processing fees.
- Maintains files of monthly report to POEA.
- Coordinates with the accredited medical clinics and with the Crewing department regarding the medical status of crew.
- Maintains updated file containing summary of referred, pending, fit and unfit crew per month.
- Communicate with the Embassies regarding visa requirements of joining crew.
- Communicate with Flagstate Authorities regarding Flagstate requirements of joining crew.
- Coordinates with Accounting department regarding application fees.
- Maintains an updated reference file of visa and Flagstate requirements.
- Coordinates with Crewing Department regarding issues in the final checking/verification of joining crew documents.
- Maintains an updated reference file of uniform suppliers and prescribed uniforms per Client.
- Maintains files of monthly statistical report to the Documentation and Procurement Manager.
- Performs other duties that may be assigned by superiors
