Position Title: HR Admin Supervisor

The role shall be reporting directly to the HR Manager. The HR Admin Supervisor shall be supervising the below functions initially:

  • Receptionist

  • Messenger/Liason Staff

  • Outsourced Office Personnel (e.g. janitorial)

Detailed Job Description

Administrative Services

  • Provides direct assistance and support to the Executive Officers (President and the EVPs), in all functions relevant to administrative transactions and concerns.

· Records Administration – Specific to policies and procedures on retention period, disposal, labelling and storage of company records/documents

· HR Logistics to include printing of IDs, procurement and administration of office uniform

  • Oversee the following tasks:

  • Telephone Services Administration

  • Reception/Secretarial Services

  • Courier and Messengerial Administration

  • Housekeeping (Office Main Building and Training/Meeting Rooms Areas)

Facilities Management (Office Premises)

· Safekeeping of Asset Inventory and Monitoring including Office Supplies

· Process request for new and replacement

· Assist in the development of policies and procedures to ensure protection of office facilities

· Maintains records/tracker of office assets

Employee Engagement

· Work with Union in planning and execution of Company Events

· Sourcing and preparation of budget for employee related benefits (ex. events, uniform etc.)

Org Communication

· Crafting and release of org-wide communication upon approval of the HR Manager and Executives

· Content-proofing of all printed communication materials posted within company premises

· Preparation of Collaterals/Posters for projects/activities initiated by HR

Reports

· In-charge of Daily Headcount Monitoring

· Preparation of Quarterly Site Leads Report

· Preparation of Semi-Annual Mancom Report

· Consolidation of HR Dashboard/Reports Annually

· Other HR related reports as needed

Vendor Management (Agency, Concessionaire etc.)

· Vendor Selection and Onboarding - Identifying, evaluating, and selecting new vendors based on organizational needs and standards. This often includes conducting RFPs (Request for Proposals), evaluating proposals, and onboarding new vendors.

· Performance Management- Monitoring vendor performance against contractual obligations and service level agreements (SLAs), identifying areas for improvement, and implementing corrective actions.

· Relationship Management -Building and maintaining strong, collaborative relationships with vendors, acting as a point of contact for communication and issue resolution.

Job Type: Full-time

Pay: Php25, Php28,000.00 per month
