Job Summary:
We are seeking a highly organized and detail-oriented Paralegal Assistant. The ideal candidate will be responsible for preparing, managing, and maintaining legal documents and case files, coordinating with internal departments and external counsel, and ensuring timely and accurate case monitoring. This role requires excellent communication, time management, and documentation skills.
Key Responsibilities:
- Draft and proofread various legal documents, including pleadings, position papers, contracts, demand letters, affidavits, and internal correspondences.
- Monitor ongoing legal cases, track deadlines, hearing schedules, and coordinate with external counsel as needed.
- Maintain and update the case tracker (Excel) on a weekly basis.
- Assist with notarization, filing, and service of pleadings and legal documents.
- Collaborate with Admin, Operations, and HR teams to gather incident reports, supporting documents, and case updates.
- Follow up with relevant departments at least twice a week regarding pending documents and actions to ensure timely filing of legal matters.
- Organize and save all scanned documents, soft copies, and digital communications related to incidents and legal cases in the Shared Drive or Google Drive; link them to the case tracker.
- Maintain a physical filing system for original or certified true copies of legal documents, filed in the CAO office.
- Create Gantt charts to monitor timelines for incidents and legal cases that need to be filed in court within 24 hours of report receipt.
- Develop process flowcharts with detailed steps and timelines for handling incidents and cases; cascade to Admin and Operations teams.
- Submit a daily accomplishment report to the Line Manager.
Qualifications:
- Bachelor's degree in Legal Management, Political Science, or any related field
- At least 2-3 years of relevant experience in a legal or paralegal role
- Strong knowledge of legal procedures and document management
- Proficient in MS Office (Word, Excel, PowerPoint) and Google Workspace
- Strong attention to detail and organizational skills
- Ability to work independently and manage multiple tasks under tight deadlines
- Excellent written and verbal communication skills
Preferred Qualifications:
- Experience in corporate or in-house legal settings
- Familiarity with Gantt charts and process documentation tools
- Basic knowledge of litigation and labor case procedures
