Export Documentation Specialist

Export Documentation Officer / Specialist
to ensure the accurate, timely, and compliant processing of export documentation that enables smooth international shipments and customer satisfaction.

This role is crucial to the company's
order fulfillment process
, ensuring all export requirements meet trade, customs, and customer standards. The ideal candidate has strong attention to detail, familiarity with international trade compliance, and proven experience coordinating with freight forwarders, shipping lines, and regulatory agencies.

Key Responsibilities

  • Prepare and process commercial invoices, packing lists, certificates of origin, BL/AWB, and other export shipping documents.
  • Ensure accuracy of documentation against customer POs, Letters of Credit (LC), and shipping instructions.
  • Coordinate with freight forwarders, shipping lines, and customs brokers for timely document release and shipment clearance.
  • Ensure compliance with
    INCOTERMS
    , customs, and international trade regulations.
  • Work closely with internal teams (Order Management, Sales, Logistics, Finance, and Production) to support shipment readiness and payment processing.
  • Maintain and update export files, shipping records, and ERP documentation systems.
  • Generate and analyze export reports, tracking OTIF and POF performance metrics.
  • Resolve documentation discrepancies to avoid shipment delays and ensure on-time delivery.
  • Assist in monitoring and liquidating invoices related to freight, courier (DHL), and demurrage charges.
  • Ensure proper filing and record-keeping of all export-related payments, receipts, and supporting documents.

Qualifications & Requirements

  • Bachelor's degree in
    International Trade, Business Administration, Supply Chain, or related field
    .
  • Minimum
    2–3 years
    of experience in export documentation, international logistics, or order fulfillment.
  • Familiarity with
    INCOTERMS
    , Letters of Credit, and export compliance processes.
  • Proficient in
    MS Office
    ; experience in ERP systems preferred.
  • Strong understanding of
    customs documentation, export control laws,
    and
    shipping coordination.
  • Excellent communication, coordination, and problem-solving skills.
  • Ability to work under pressure, meet deadlines, and maintain high accuracy in document handling.
