The
Property Management Administrative
Coordinator
supports daily administrative, compliance, and tasks for property management operations. The role ensures data accuracy across AppFolio and Google Drive, facilitates communication between brokers, property managers, owners, tenants, and vendors, and helps maintain compliance for leases, insurance, and key documents.
Responsibilities:
- Compliance checking (lease dates, insurance, W-9/COI, uploads)
- System maintenance (AppFolio & Google Drive data integrity)
- Communication logistics with owners, tenants, brokers, PMs and vendors
- Document handling (uploading, matching, renaming)
- Add activities for routine items needed - including timelines, and checklists in AppFolio & Google Drive for: mid-term inspections, 60-day lease expiration, insurance expiration dates, and missing documents
- Follow up with owners & tenants on certificates of insurance annually. and upload to AppFolio & Google Drive
- Receive copies of DocuSigns from Property Managers for new Rental Agreements, upload documents to AppFolio & Google Drive
- Open contracts to verify accuracy against AppFolio entries, adjust lease end dates if necessary (no financial adjustments), notify PM of required changes
- Create AppFolio pages for new properties, tenants, and owners, and verify settings
- Receive office mail uploads, send to appropriate PM, and upload as needed to Google Drive/AppFolio
- Upload bills to AppFolio, confirm W-9s & COIs for vendors - follow up with vendors if documents are missing.
- Help troubleshoot AppFolio issues
- Upload all final move-out documents and security deposit statements to AppFolio/Google Drive
Qualifications
- Bachelor's Degree in Business/Management or any related courses
- At least
2+ years
of administrative experience in
property management or real estate. - Proficient with AppFolio
or similar property management systems - Experience working with
US-based real estate/property management
is a huge advantage - Strong organizational skills and attention to detail
- Ability to manage multiple tasks and deadlines
- Excellent communication skills both verbal and written for interacting with owners, tenants, and vendors
- Comfortable handling documents, schedules, and compliance tasks
- Preferably
residing in or near Metro Manila - Preferably
can start ASAP
