Position Overview
The Admin Assistant will provide vital administrative and clerical support to the Business Development and Admin Team. This role ensures smooth day-to-day operations by handling documentation, scheduling, coordination, and other tasks that help the team function efficiently. Fresh graduates are welcome to apply, especially those who are organized, proactive, and eager to learn.
Key Responsibilities
Administrative Support
- Assist in preparing reports, presentations, proposals, and other documents for the Business Development and Admin Team.
- Maintain organized filing systems (digital and physical) for contracts, permits, communications, and other documents.
- Handle incoming and outgoing communications such as emails, phone calls, and memos.
- Manage office supplies inventory and coordinate replenishment when necessary.
Coordination & Scheduling
- When necessary, assist in scheduling meetings, appointments, and travel arrangements for the team.
- Coordinate with internal departments and external partners for project follow-ups and requirements.
- Help organize team events, activities, or company functions when applicable.
Data Management
- Encode and maintain accurate records, logs, and databases relevant to Business Development activities (e.g., leads lists, store expansion trackers, permit trackers).
- Assist in compiling data for reports, presentations, and management updates.
Support for Business Development Activities
- Assist in gathering documents, permits, and requirements needed for store openings, vendor applications, or other BD initiatives.
- Help monitor progress of ongoing projects and ensure timely follow-ups.
- Provide logistical support during site visits, events, or meetings as needed.
General Administrative Tasks
- Perform clerical duties such as scanning, printing, photocopying, mailing, and document routing.
- Help ensure office cleanliness and orderliness in coordination with Admin personnel.
- Assist with ad-hoc tasks assigned by the Admin or Business Development Team.
Qualifications
- Fresh graduates are welcome to apply.
- Bachelor's degree in Business Administration, Office Management, Marketing, Human Resource Management, or related courses.
- Strong organizational skills and attention to detail.
- Good communication skills (written and verbal).
- Proficient in Google Workspace.
- Ability to multitask, prioritize tasks, and work within deadlines.
- Proactive, reliable, and willing to learn.
- Can work independently and as part of a team.
Job Types: Full-time, Permanent, Fresh graduate
Pay: Php20, Php23,000.00 per month
