The Quality Assurance Specialist ensures that all raw materials and packaging meet established quality standards and regulatory requirements. This role supports QA operations through inspection, testing, documentation, and coordination to maintain product integrity from receipt to dispatch.

The duties and responsibilities of a Quality Assurance Specialist include, but are not limited to, the following:

  1. Reporting and Documentation

1.1. Supports the preparation of weekly/ monthly work-related reports, NCCAPA documentation, and SOP updates.

1.2. Maintains QA monitoring sheets, reports, and records for traceability and compliance.

1.3. Assists in weekly QARD meetings and ensures timely submission of QA documents.

1.4. Files and maintains both hard and electronic copies of all QA documents (e.g., COA, SDS, TDS).

1.5. Coordinates with supplier and other departments as needed: inquiries, TSR, etc.

  1. Incoming and Outgoing Deliveries

2.1. Conducts daily inspection, validation, and QA checking of incoming and outgoing raw materials.

2.2. Issues Certificates of Analysis (COA) and ensures accuracy of QA labels, batch tagging, and related documentation.

2.3. Coordinates with Purchasing, Warehouse, and Production to ensure materials meet specifications before receiving and dispatching.

2.4. Ensures 100% QA-checked status for incoming and outgoing transactions.

2.5. Performs line clearance and validation to ensure the area and equipment are properly checked and prepared before dispensing.

  1. Raw Material Testing

3.1. Performs physicochemical testing of raw materials in accordance with product specifications.

3.2. Conducts retesting of expired or near-expiry materials and recommends appropriate disposition.

3.3. Ensures testing accuracy, timely approval/rejection, and documentation of results.

  1. Inventory

4.1. Monitors office supplies and ensures proper stock levels for QA activities.

4.2. Coordinates with the Warehouse and Purchasing departments for any inventory discrepancies or quality concerns.

  1. Training and Seminar

5.1. Supports QA training sessions on GMP, GDP, and SOP implementation.

5.2. Assists in preparing materials and documentation for internal and client training activities.

  1. Laboratory Upkeeping

6.1. Implements and maintains 7S standards within QA laboratories and work areas.

6.2. Ensures cleanliness, orderliness, and readiness of laboratory facilities for inspections or audits.

6.3. Maintains proper cleanliness, maintenance, and proper calibration of testing instruments and laboratory tools.

  1. Other Functions

7.1. Assists in internal audits or client audits as needed.

7.2. Performs other QA-related duties as assigned by the immediate superior.
