The Opportunity
Our client is a recruitment advisory firm, specializing in bespoke advocacy for executive insurance brokers across the Asia-Pacific, Middle East, Europe, and the United Kingdom. With a highly personalized approach and deep market insight, they deliver tailored search solutions worldwide.
They are now seeking a proactive and detail-oriented Executive and Admin Assistant to support the delivery of high-impact mandates across the global insurance broking sector. In this role, you will combine executive support with recruitment coordination, including managing schedules, preparing documentation, and assisting with interviews and candidate communications. This is your chance to join a collaborative environment with international exposure, contributing to seamless operations and first-class client delivery.
ASW Global operates on a Hybrid model, requiring 3 days onsite at the BGC office and 2 days working from home, with a regular shift schedule of 6:00 AM to 3:00 PM Manila time to align with Australian business hours.
Key Responsibilities
- Manage calendars, schedule meetings, and coordinate both virtual and in-person engagements.
- Prepare briefing packs, presentations, reports, and client documentation.
- Handle confidential correspondence and ensure timely follow-ups.
- Assist with candidate and client communications, including interview scheduling and feedback collection.
- Maintain accurate records in JobAdder (CRM) and track progress across multiple search assignments.
- Format CVs, reports, and candidate profiles for client presentation.
- Support the implementation and optimization of AI tools to streamline workflows and improve productivity.
- Provide personal assistance with tasks such as booking travel, restaurants, and managing subscriptions or bills.
Skills, Experience & Qualification
- Bachelor's degree in Business Administration, Human Resources or a related field.
- At least 3 years of proven experience in executive support, recruitment, or professional services.
- Strong organizational skills with the ability to manage competing priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft 365 and LinkedIn Recruiter; experience with JobAdder is an advantage.
- Confidence with tech platforms and AI tools, with a proactive problem-solving mindset.
- High levels of discretion, professionalism, and adaptability.
