Inventory Associate

DUTIES AND RESPONSIBILITIES:

1.    Maintains records and prepares reports regarding quantity of fuel, dye, or additive purchased, received, stored and loaded into lorries. Witness receipt of fuel/dye additive by tank-farm operator to verify oil-gauging reports.

2.    Maintain an accurate and updated Daily Running Inventory Report and ensure timely submission to identified stakeholders.

3.    Reconcile daily records provided by Operators, Operations Supervisors, and Surveyors with regards to product movement via Tank Truck, Vessels and Maintenance.

4.    Confirm all incoming shipments to be accurate by comparing the shore receipt to the bill of lading and ensure all inventory is in excellent condition.

5.    Responsible for daily dispatching and trucking schedule.

6.    Verifies computation of gross and net barrels of oil received, using standard conversion tables and simple arithmetic.

7.     Investigate and report to supervisor any abnormal discrepancies on actual and book inventories.

8.     Develop and maintain necessary records and reports such as: supply inventories, BIR official registry book records, monthly summary and highlight reports.

9.     Creates reports and actively monitor inventory while keeping precise records of fuels, dyes and additives stored and stoked.

10.   Participates in Safety programs and protocol of the company.

11.   Able to cover responsibilities of subordinates in their absence.

12.   Membership of the Terminals Emergency Response Team

13.   Accepts product order from Dealer/RBC due for next delivery for retail and received authority to load (ATL) with sales order number for dispatching from commercial customer.

14.   Submission of order list collected from retail accounts to accounting for system recording for sales order number reference at every 3:00 to 4:00 pm daily (base on the allowable truck pairing and availability)

15.   Creation of system generated delivery receipts including withdrawal certificate prior product loading

16.   Maintain copy of records of dispatched and product inventory monitoring

17.   Handles inventory reports:

• Daily lifting summary and inventory on hand every 9:00 -10:00 am
• Consolidated monthly liftings and deliveries every 5th of the month
• Reconciled list of inventories for government compliance every 5th of the month
• Other special reports that may be ask relative to inventory counts

18.   Performs other relevant functions assigned by superiors from time to time.

JOB QUALIFICATIONS

• Preferably with BS degree in Engineering or Accounting/Finance.
• Other combination of training and/or experience that can be demonstrated to result in possession of knowledge, skills and abilities necessary to perform the duties of this position will also be considered.
• Must possess the ability to communicate effectively both oral and in written.
• Ability to work with minimal supervision
• Experience with any business software application is an advantage
• Must have good judgement and intellectual ability
• Must be computer literate
• Must be proficient in accounting principles and practices
