DUTIES, FUNCTIONS AND RESPONSIBILITIES
Review documents generated by Records Clerk
Ensure that entries of the documents are true and correct
- Review data on the correctness of spelling, dates, year, etc.
Ensure that documents are properly presented
Liaison with CHED, DepEd, BI, and TESDA/PRC
Prepare reports for submission to CHED such as HEMIS
- Submission of application for SO's
- Follow-up status/update of documents submitted
- Submit reports of other departments for CHED, DepEd, and TESDA
- Attend to foreign documents/issue necessary documents for BI
Prepare notice of acceptance, BOI, and CHED documents for foreign students
Encode subject offerings during enrollment
Coordinates with Deans and Program Heads for their schedule
- Subject offerings are encoded on time
- Accurate encoding of subject offerings
Encode requested and approved changes of grades, faculty loading, etc.
Encode delayed ratings
Delayed ratings are encoded on time
- Follows policy on encoding of delayed ratings
- Return to concerned departments should there be errors in the document
Ensure accurate encoding of grades
Assist in overseeing daily operation and enrollment processes
Ensure the smooth flow of department's daily operation/transaction
- Ensure the smooth flow of enrollment processes
- Assist in addressing client's queries
- Reply on verification request thru email, inquiry on admission, and other registrar's activity
Take the lead in graduation preparation
Prepare Reports: Enrollment, Faculty Loading, Dean's List, Retention, Migration, RAD Block, No Show, Rooms Inventory, Average Units and other as requested by management
Reports are submitted on time
- Reports are accurate and correct, no errors noted
- Reports are well-presented, can easily be understood
