We are seeking a highly organized and detail-oriented Executive Assistant to support our senior leadership team in the RE/MAX 8 real estate business. This role requires a proactive professional with a deep understanding of the real estate industry and strong multitasking abilities.

Key Responsibilities
  1. Administrative Support: Provide high-level administrative support to executives, including managing schedules, appointments, and meetings.
  2. Coordinating Meetings: Coordinate and organize meetings, site visits, and conferences related to real estate transactions, including arranging travel and accommodations when necessary.
  3. Calendar Management: Maintain and update the executive's calendar, ensuring efficient time management and minimizing scheduling conflicts.
  4. Correspondence and Documents: Prepare and manage correspondence, reports, presentations, and other documents for meetings and presentations.
  5. Point of Contact: Act as the point of contact between executives, clients, agents, contractors, and other stakeholders.
  6. Contract Management: Assist in the preparation and management of real estate contracts, agreements, and legal documents, ensuring all paperwork is accurate and completed in a timely manner.
  7. Project Coordination: Track and follow up on key project deadlines and action items related to real estate transactions.
  8. Market Research: Research and gather information on potential properties, markets, and investment opportunities as needed.
  9. Confidentiality: Organize and manage confidential and sensitive information with discretion and professionalism.
  10. Office Operations: Manage office operations, including filing systems, office supplies, and other administrative tasks to ensure smooth office functioning.
  11. Contact Database: Maintain an up-to-date database of contacts, clients, and vendors related to real estate transactions.
  12. Special Projects: Provide support for special projects, events, and marketing campaigns within the real estate department.
Requirements
  • Bachelor's degree in Business Administration, Real Estate, or a related field (preferred)
  • Minimum of 1 year of experience as an executive assistant, administrative assistant, or similar role, preferably in the real estate or property management industry
  • Strong knowledge of the real estate industry, including market trends, property types, and real estate documentation
  • Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.) and real estate platforms/tools (MLS, CRM systems, etc.)
  • Exceptional organizational and time-management skills with the ability to handle multiple priorities
