Document Controller Role

This role plays a vital part in ensuring a smooth documentation process across all interior design projects. The Document Controller maintains the accuracy, consistency, and timely distribution of documents to both internal teams and external stakeholders.

The ideal candidate will have 2–4 years of experience in a document control or project coordination role, preferably within the design architecture or construction industry.

  • Strong understanding of project management processes and document lifecycle.
  • Excellent written and verbal communication skills.
  • Highly organized with keen eye for detail.
  • Confident user of MS Office especially Word and Excel familiarity with document management systems is a plus.
  • Proactive problem-solver with ability to work independently.
  • Strong multitasking skills and ability to prioritize workload in dynamic environment.
  • Professional personable and team-oriented.

Responsibilities:

  • Organize scan copy and archive project documents in digital and physical formats.
  • Review documents for accuracy and completeness including contracts and project-related materials.
  • Update and maintain technical documents such as manuals workflows and specifications.
  • Ensure timely distribution of project documentation to internal teams and external stakeholders.
  • Maintain and regularly update document control registers including post-contract records.
  • Create and manage document templates to standardize internal processes.
  • Support team members and clients in retrieving documentation when required.
  • Oversee documentation flow across departments to ensure consistency and accuracy.
  • Handle sensitive information with high degree of confidentiality.
  • Prepare project reports and summaries as needed.
