Job Description:

The Order Management Coordinator plays a crucial role in the comprehensive management of orders for International Key Accounts, ensuring seamless operations from customer account creation to invoicing and returns.

Key responsibilities include:

  • Maintaining accurate order entry and pricing validation, as well as updating price lists to reflect any changes.
  • Extracting and utilizing data from platforms like Stibo and Sequel Central for e-commerce portals to optimize order processing.
  • Completing shipping documentation and setting up vendor item codes in Oracle to streamline inventory management.
  • Confirming and exporting orders from e-commerce platforms to Oracle to ensure timely delivery.
  • Reviewing order files for discrepancies and creating shipping notices to keep customers informed.
  • Serving as the primary point of contact for internal and external customers regarding order issues, providing timely updates and resolving concerns with a sense of urgency.
  • Troubleshooting order errors and managing backorders and cancellations to minimize disruptions.
  • Exporting order information and consolidating reports for open orders and sales to facilitate data-driven decision making.
  • Tracking critical order information and ensuring monthly sales forecasts are met by analyzing trends and adjusting strategies accordingly.
  • Creating internal orders and coordinating shipments with various teams to optimize logistics and reduce costs.
  • Investigating customer claims and facilitating returns and credit memos to resolve issues efficiently.

Requirements:

  • Excellent customer service skills, able to provide timely updates on customer concerns and resolve issues with a sense of urgency.
  • Strong planning and organizational skills to manage multiple tasks and deadlines.
  • Attention to detail and ability to provide accurate data and reporting to inform business decisions.
  • Highly independent and proficient in time management and multi-tasking to work effectively in a fast-paced environment.
  • Effective communication skills to interact with local and international stakeholders across different levels of the organization.
  • Proficiency in MS Office, preferably advanced MS Excel skills to analyze data and create reports.
