Marketing Assistant Professional

We are seeking a highly skilled professional to fill the role of Executive Assistant with Marketing Experience. The ideal candidate will possess exceptional organizational and time management skills, with the ability to communicate effectively and build strong relationships.
Key Responsibilities:- Manage the founder's inbox, ensuring timely responses to inquiries and escalations as necessary.
- Optimize calendar management, scheduling meetings and resolving conflicts.
- Maintain databases and perform computer maintenance tasks.
- Oversee office supplies and coordinate equipment procurement.
- Arrange travel and accommodations, preparing detailed itineraries and correspondence.
- Create expense reports for business trips.
- Triage inbound inquiries from potential clients and respond accordingly.
- Maintain CRM systems and ensure accurate daily updates.
- Support business development activities and participate in organizing events.
- Send welcome packages to new clients.
- Update website and social content created by the team.
- Manage online entries for awards and research journalist contacts.
- Reach out to journalists and send press releases.
- Research speaking engagements for the founders and identify opportunities for new business partnerships.
- Assist in managing the content calendar for social media.
- Help coordinate in-house projects such as holiday gifts and events.
- Maintain payroll systems, including onboarding and offboarding employees.
- Draft contracts for employees and freelancers.
- Manage sick leave protocols and employee communications.
- Support recruitment processes and coordinate employee onboarding/offboarding.
- Process accounts payable and receivable and perform weekly bookkeeping reconciliations.
- 4+ years of experience in executive assistance, communications, or marketing.
- Ability to work on Eastern Standard Time (EST).
- Proven ability to communicate effectively and build relationships.
- Strong organizational and time-management skills.
- Highly motivated and resourceful professional.
- Proficient in Google Workspace, Excel, and Microsoft Word.
- Experience with CRM software is a plus.
- Comfortable working flexible hours when needed.
