We are seeking a highly skilled Executive Assistant to support our organization in managing daily operations, administrative responsibilities, and marketing initiatives.
The ideal candidate will have excellent problem-solving skills, the ability to make independent decisions, and a keen attention to detail. Experience in marketing and social media is a plus.
Key Responsibilities:- Manage and triage incoming inquiries from potential clients, providing timely and accurate responses.
- Maintain and update databases, including press lists, vendor lists, and other relevant information.
- Oversee computer and equipment maintenance, management, and procurement to ensure seamless day-to-day operations.
- Manage office supplies, coordinate maintenance, and arrange travel and accommodations as needed.
- Triage and respond to inbound inquiries from potential clients, providing timely and accurate responses.
- Maintain the CRM and ensure accurate daily updates, tracking interactions and client relationships.
- Assist in organizing and participating in business development activities, including event planning and outreach efforts.
- Send welcome packages to new clients, ensuring a warm and personalized onboarding experience.
- Support in updating website and social content created by the team, ensuring consistency and accuracy across all platforms.
- Manage and assist online entries for awards, recognizing and celebrating team achievements.
- Research contacts for journalists, events, and other outlets in the best interests of our organization.
- Support founders in press or event initiatives as required, providing expert assistance and guidance.
- Maintain the payroll system, including onboarding/offboarding employees, updating salaries, and managing group insurance plans.
- Draft contracts for employees and freelancers, ensuring clarity and transparency in all agreements.
- Manage sick leave protocols and communications, ensuring seamless support for employees during periods of absence.
- Support recruitment processes, including triaging candidate applications, scheduling interviews, and coordinating onboarding activities.
- 4+ years of experience in executive assistance, communications, or marketing.
- Ability to work on Eastern Standard Time (EST) and adapt to changing priorities.
- Proven ability to communicate effectively, build relationships, and collaborate with cross-functional teams.
- Strong organizational and time-management skills, with a focus on prioritization and deadline management.
- Highly motivated, resourceful, and a go-getter mentality, with a passion for continuous learning and growth.
- Proficient in Google Workspace (Google Sheets, Google Docs, Gmail), Excel, and Microsoft Word, with experience in CRM software and sales tools a plus.
- Comfortable working flexible hours when needed, with a willingness to adapt to changing circumstances.
