Document Controller

The role of a document controller is pivotal in ensuring the smooth documentation process across all interior design projects.

Key Responsibilities
  • Maintaining accuracy, consistency, and timely distribution of documents to internal teams and external stakeholders.
  • Organizing, scanning, copying, and archiving project documents in both digital and physical formats.
  • Reviewing documents for accuracy and completeness, including contracts and project-related materials.
  • Updating and maintaining technical documents such as manuals, workflows, and specifications.
  • Ensuring timely distribution of project documentation to internal teams and external stakeholders.
  • Maintaining and regularly updating document control registers, including post-contract records.
  • Creating and managing document templates to standardize internal processes.
  • Supporting team members and clients in retrieving documentation when required.
  • Overseeing documentation flow across departments to ensure consistency and accuracy.
  • Handling sensitive information with a high degree of confidentiality.
  • Preparing project reports and summaries as needed.
  • Managing client procurement portals and ensuring compliance with submission requirements.
Required Skills and Qualifications
  • 2–4 years of experience in a document control or project coordination role, preferably within the design, architecture, or construction industry.
  • Strong understanding of project management processes and document lifecycle.
  • Excellent written and verbal communication skills in English.
  • Highly organized with a keen eye for detail.
  • Confident user of MS Office, especially Word and Excel; familiarity with document management systems is a plus.
  • Proactive problem-solver with the ability to work independently.
  • Strong multitasking skills and ability to prioritize workload in a dynamic environment.
  • Professional, personable, and team-oriented.
