Key Responsibilities
  • Email and Calendar Management: Ensure seamless email and calendar management for our executive team, prioritizing meetings, deadlines, and correspondence.
  • Financial Administration: Handle credit card disputes, track expenses, and assist with financial reporting, demonstrating strong attention to detail and ability to manage multiple tasks.
  • Research and Procurement: Conduct thorough research on products or services to support decision-making, ensuring the best value for business or personal purposes.
  • Event Coordination: Coordinate events, meetings, and tasks across multiple departments, ensuring smooth execution and communication.
  • File Maintenance: Maintain organization of files, documents, and digital assets for easy retrieval, adhering to company guidelines.
Long-Term Rental Management
  • Rent Collection: Ensure timely rent collection, track payments, and follow up on any delinquent accounts, maintaining accurate records.
  • Tenant Support: Manage maintenance requests for tenants, coordinating repairs and services with vendors, and providing excellent customer service.
  • Tenant Qualifications: Process tenant applications, verify information, and facilitate background checks to ensure qualified tenants.
  • Move-Ins and Move-Outs: Coordinate smooth transitions for new and departing tenants, ensuring minimal disruption.
Requirements
  • Administrative Expertise: Proven experience in email and calendar management, financial administration, and event coordination.
  • Technical Skills: Proficiency in using property management software and productivity tools such as Google Workspace or Microsoft Office.
  • Organizational Abilities: Highly organized with excellent time management skills, capable of prioritizing and meeting deadlines.
  • Communication Skills: Excellent communication and problem-solving skills, with the ability to work independently and proactively solve problems.
Preferred Experience
  • Executive Assistant Experience: Previous experience in executive assistant roles or real estate property management.
  • Financial Management: Familiarity with financial management, including handling credit card disputes or basic bookkeeping tasks.
