
Document Management Specialist

Job Overview:
Doxa-Talent is seeking a highly organized and detail-oriented Lease Contracts Coordinator to support the end-to-end lease documentation process. This role involves preparing, reviewing, and managing lease-related documents in accordance with company policies and client requirements.
The ideal candidate will have strong analytical skills, excellent communication abilities, and the ability to work cross-functionally with internal teams. They will also be proficient in Microsoft 365 and have experience with document management, processing, and creation.
Key Responsibilities:
- Prepare and manage lease documents including Equipment Lease Schedules (ELS), Purchase Orders (POs), Acceptance Certificates (ACs), and Amendments
- Ensure accuracy of lease terms, financial obligations, and equipment details before finalizing documents
- Maintain compliance with internal SLAs and documentation standards
- Collaborate with internal teams to gather required data and resolve discrepancies
Requirements:
- Associate or bachelor's degree preferred but not required
- 1–2 years of experience in contract administration, leasing, or a strong document administrative role
- Experience with document management, processing, and creation is preferred
- Ability to manage high email traffic and intra office communications
- Bilingual (English/Spanish) is a plus
- Strong proficiency in Microsoft 365 (Word, Excel, Outlook)
- Experience with CRM systems and document management platforms is a plus
Work Environment:
This is a remote full-time position with regular working hours from 9:00 AM – 6:00 PM Pacific Daylight Time.
