We are currently seeking a skilled Project Operations Manager to support the execution and monitoring of project operations within our organization.

The ideal candidate will assist in project planning, coordination, resource management, and reporting under the guidance of senior project managers and officers.

Key Responsibilities:

  • Project Planning and Coordination:
    • Assist in developing and implementing project plans, including defining project scope, objectives, deliverables, and timelines.
    • Coordinate activities of project teams, ensuring tasks are completed on time and within budget.
    • Maintain accurate and up-to-date project documentation, including plans, reports, and budgets.
    • Collaborate with the Business Development Department and Finance and Admin Department as needed.
  • Progress Monitoring and Reporting:
    • Track project milestones and progress to ensure deadlines are met.
    • Prepare and update project status reports highlighting any delays or issues.
    • Support preparation of presentations or progress updates for project teams and stakeholders.
    • Edit, format, and package project reports.
  • Communication and Stakeholder Engagement:
    • Prepare office correspondence, endorsements, memoranda, and other official documents for approval.
    • Coordinate communication between internal teams, contractors, and external stakeholders.
    • Organize and schedule project meetings, prepare agendas, and document meeting outcomes.
    • Manage project-related correspondence and office supplies.
  • Resource and Documentation Management:
    • Maintain project files, including contracts, project description sheets, master lists, and compliance paperwork.
    • Assist in resource scheduling and coordination to meet project requirements.
    • Monitor availability and allocation of resources to prevent conflicts or shortages.
  • Quality and Compliance Support:
    • Ensure project activities align with company policies, procedures, and regulatory requirements.
    • Support senior officers in maintaining quality standards throughout the project lifecycle.
    • Prepare quality control and audit documentation.
  • Risk Management Support:
    • Identify potential risks and issues affecting project timelines or outcomes.
    • Develop risk mitigation plans and implement corrective actions.
  • Learning and Development:
    • Participate in project management training and development activities to enhance knowledge and skills.
    • Collaborate with senior project operations officers to learn project management best practices and methodologies.
  • ISO Support Activities:
    • Assist in ISO-related activities, including facilitating client satisfaction/project completion/consultants' evaluation forms and conducting internal audits.
  • Other Duties:
    • Perform other tasks as required by senior management to support smooth project implementation.
