Real Estate Financial Administrator
A successful Real Estate Financial Administrator is responsible for maintaining accurate financial records, processing accounts payable and receivable, reconciling bank accounts, trust accounts, and credit card statements monthly. This role also involves preparing owner statements, financial reports, and draw schedules.
Key Responsibilities- Maintain accurate financial records for multiple properties using specialized software
- Process accounts payable and receivable, including vendor bills and tenant payments
- Reconcile bank accounts, trust accounts, and credit card statements monthly to ensure accuracy and compliance with regulatory requirements
- Prepare owner statements, financial reports, and draw schedules to provide timely and transparent financial information
- Monitor and manage tenant ledgers, security deposits, and lease-related transactions to optimize cash flow and minimize risk
- Collaborate with property managers to resolve discrepancies and support audits by providing detailed financial analysis and recommendations
- Assist in budgeting, forecasting, and year-end financial preparations to ensure alignment with business objectives
- Handle tax documentation, 1099s, and other regulatory filings as needed to maintain compliance and minimize potential liabilities
- Bachelor's degree in Accounting, Finance, or related field (preferred)
- CPA or Bookkeeping Certification (a plus)
- Minimum 3 years of bookkeeping experience, preferably in real estate
- Proven expertise in AppFolio software (required)
- Experience managing financials for multiple properties or portfolios
- Advanced proficiency in AppFolio, QuickBooks, and Excel
- Strong understanding of real estate accounting principles
- Excellent attention to detail and organizational skills
- Ability to work independently and meet deadlines
- Strong communication skills for cross-functional collaboration
- Familiarity with U.S. property management practices
- Experience with trust account reconciliation and owner draw processes
- Comfortable working in a remote, fast-paced environment
