Rental Coordinator

We are seeking a proactive and organized rental coordinator to manage all incoming enquiries for our properties. This role involves handling calls and emails from applicants, collecting essential information, arranging and scheduling property viewings, and ensuring smooth communication throughout the application process.

Key responsibilities include:

  • Monitoring and responding to all rental enquiries via platforms such as Zoopla and OpenRent.
  • Answering incoming calls and emails promptly, providing clear information to prospective tenants.
  • Pre-screening applicants by checking key details such as income, moving date, and suitability.
  • Arranging and scheduling property viewings, confirming times with both applicants and property managers.
  • Twice weekly, planning full-day viewing routes using Google Maps to maximize efficiency.
  • FOLLOWING up with applicants after viewings to gather feedback and references.
  • Keeping applicants updated throughout the process, ensuring a professional and smooth experience from first enquiry to application.
  • Maintaining accurate records of enquiries, viewings, and applicant feedback.
Requirements:
  • Prior experience in property rentals, lettings, or customer service is an advantage.
  • Strong communication and interpersonal skills (phone and email).
  • Proficiency with online property platforms (Zoopla, OpenRent) preferred.
  • Comfortable using Google Maps and basic scheduling tools.
  • Highly organized, detail-oriented, and able to manage multiple applicants at once.
  • Proactive problem-solving skills and customer-focused mindset.
